Facility Fees: Fees are based upon events lasting approximately four hours. Additional fees may be associated with events scheduled to last longer than four hours. Wedding Receptions: The facility rental fee is $1,500. The facility fee includes access to the facility the prior day for setup and decorating (3 hour maximum), and access the day of the event for deliveries (3 hour maximum). Wedding Ceremonies: There is an additional charge of $250 if the wedding ceremony is to be held in The River Room. This fee is for the rehearsal the previous evening as well as additional setup charges required to have multiple events in the ballroom. We also recommend two wedding chapels nearby and are happy to help you make those arrangements if you wish. For larger weddings, other churches in the area are usually available. Parties & Dinners (Friday, Saturday & Sunday): The facility fee is $750 and includes access to the facility on the day of the event for decorating (3 hour maximum). Evening Meetings & Dinners (Monday - Thursday): The basic facility rental fee is $500. The room can be customized for your event with round tables and chairs, auditorium style (chairs only), and smaller events can be arranged using 8' rectangular tables. For groups larger than 150, consult with the Event Manager for pricing. Linens: For those events where linens are desired, white tablecloths and black napkins are available locally at $8.00 per tablecloth and $.50 per napkin. If you wish to use colored linens or other special linens, the client is responsible to rent those and arrange transportation to and from the site. Sound System & Presentations: Our sound system includes a 6-disk CD player, wireless microphone with speakers throughout the room, 7' by 12' wall screen, and a ceiling projector for use with your laptop computer. Use of these items is included in the facility price. Deposits & Payment: A 50% deposit based on the facility rental fee is required at booking. It is non-refundable unless The River Room can be rebooked for the date. If rebooked, there will be a 10% rebooking fee deducted from the deposit. Seven (7) days prior to the event, final payment for the facility, catering and bar service is required. A $400 Cleaning & Damage Deposit also is due at that time (refundable after inspection). CATERING & BAR Policy: ALL BAR SERVICE IS PROVIDED BY THE RIVER ROOM, and bar service must adhere to Kansas Liquor Laws. Events serving alcoholic beverages (other than business conferences) must have an security officer in attendance. Catering by an Outside Caterer: If you choose to use an outside caterer or do the catering yourself, the caterer must provide all of the food, serving containers, plates, glassware and so forth. The caterer is responsible to do the set up of the serving tables and to remove all items from the serving tables and the guest tables at the end of the event. The caterer is responsible to take care of any food spills during the event. The caterer is also responsible to see that the prep kitchen is cleaned after the event and returned to the condition it was in when the caterer arrived. If the caterer does not comply, the expense to clean the prep kitchen and/or clean up the guest tables and serving tables will be deducted from your $400 damage deposit. In addition, all items brought in by the caterer must be removed at the end of the event. The host and the caterer must sign an Indemnify Agreement which indemnifies and holds harmless River Room Events LLC in case there is a problem with the food or food service which causes a guest to get sick or injured. We expect the caterer to use safe food practices including keeping hot food hot and keeping cold food chilled. No food should be left on the buffet for longer than 2 hours. Finally, the caterer or his/her staff must be there during the event to restock the food and handle all issues that may come up related to the food service. Sales Tax and Credit Cards: Price Guarantee: All prices are subject to change. Once the contract is signed, the facility price is guaranteed. Catering prices are guaranteed for six months. Pricing on bar service is determined by the products chosen by the clients.
Daytime Meetings & Conferences:
The basic facility rental fee is $300 for up to 100 guests (4 hours). Table configuration can be customized for your event using either 60" round tables or 10' rectangular tables for smaller events. For groups larger than 100 or events lasting longer than 4 hours, consult with the Event Manager for pricing.
The State of Kansas requires that sales tax (8.3%) be charged on all items except the facility rental fee. A 2.5% processing fee will be charged to all credit card payments. We accept Master Card, Visa, Discover and American Express.
